Singh Sardar Productions is a photography and videography business based in Brampton, Ontario L7A 4L9. We serve the Greater Toronto Area.

This policy covers the personal information we collect through our website, our inquiry form, messages and bookings, and the photos and video we capture at your event. It explains what we collect, why we collect it, who we share it with, how long we keep it and what choices you have. We follow Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).

Information you give us

- Contact details. Your name, phone number and email address.

- Event details. The date, venue, type of celebration, guest count, schedule, family members you want photographed and any special requests.

- Booking and billing details: your billing name and address, your quote, invoices and payment records. Card payments go through our payment provider. We never see or store your full card number.

- Messages. Anything you send us by email, phone, text, WhatsApp, Instagram or Facebook.

Photos and video from your event

We capture images and footage of you, your family and your guests, including children. Your photos may show religious or cultural ceremonies, such as Sikh and Punjabi traditions. We treat that as sensitive information and handle it with extra care.

Information collected automatically when you visit our website

Cookies and similar tools record which pages you view, how long you stay, your device and browser type, the site that referred you and whether you arrived from one of our ads. The tools we use are:

- Google Analytics and Google Tag Manager, to see how visitors use the site

- Meta Pixel (Facebook and Instagram), to measure our ads and show ads to people who have visited the site

- YouTube, for embedded videos, which can set its own cookies when you play a video

- Hostinger, our website host, which keeps standard server logs for security

Information from others

If a venue, planner or listing site (such as GigSalad) refers you to us, we receive the contact and event details you gave them.

We use your information to:

  • reply to your inquiry and send you a quote

  • plan your event and provide the photography and videography you booked

  • take payments, send invoices and keep the records tax law requires

  • deliver your finished photos and videos

  • see how our website is used so we can improve it

  • measure our advertising, and show our ads on Facebook, Instagram and Google to people who have visited our site

  • send you offers or news, but only if you have agreed (you can unsubscribe at any time)

  • show selected work in our portfolio, but only with your permission (see the next section)

  • meet our legal obligations and protect our legal rights

We do not sell your personal information. We do not make automated decisions about you.

Your event photos: portfolio and social media

We ask before we use any photo or video from your event on our website, YouTube, Instagram, Facebook, in ads or on listing sites. You can agree to some uses and refuse others, for example, yes to the website and no to social media.

Children. We only publish images of children with a parent's or guardian's permission. We never publish a child's full name, and we never tag the location of a private home.

Guests. Please let your guests know there will be a photographer and videographer at your event. Any guest can ask us not to publish images of them, and we will respect that.

Changing your mind. You can withdraw permission at any time. We will remove the images from our website and our own social media accounts within 30 days. We cannot recall copies that other people have already downloaded or shared.

Cookies, analytics and advertising

When you first visit our site, a banner lets you accept or decline analytics and advertising cookies. You can change your choice at any time with the cookie settings link in the footer. Declining does not stop the site from working.

We do not use cookies to collect health, financial or other sensitive information.

We share information only with service providers who help us run the business. Each one may use it only to provide its service to us.

If we hire a second shooter or editor for your event, they may see your event details and footage. They are bound by confidentiality.

Storage outside Canada

Some of our providers store data in the United States or other countries. While it is there, your information is subject to the laws of that country. That can include access by its courts, law enforcement and national security authorities.

How long we keep your information

- Inquiries that don't become bookings: We keep the information in our CRM cloud for advertising and training purposes.

- Client, booking and invoice records: because the Canada Revenue Agency requires business records to be kept for six years after the end of the tax year

- Raw, unedited footage and photos: We keep some creative data after we deliver your final files for future social media posts

- Portfolio images: until you withdraw permission

- Website analytics: 14 months

When we no longer need information, we delete it or make it anonymous.

How we protect your information

- Only the people who need your information can access it.

- Our business accounts are protected with strong passwords and two-factor authentication.

- Client galleries are private and shared only by link or password.

- Our website uses an encrypted connection (HTTPS).

No system is completely secure. While Singh Sardar Productions takes reasonable measures to protect your personal information, we cannot guarantee absolute security. Singh Sardar Productions will not be liable for a breach of your information unless the breach results from our intentional misconduct or other circumstances where liability cannot legally be excluded.

You can:

- See your information. Ask what we hold about you and get a copy. We will reply within 60 days at no cost.

- Correct it. Ask us to fix anything inaccurate or incomplete.

- Withdraw consent. Stop marketing messages, portfolio use or advertising cookies at any time. If you withdraw consent for something we need to provide our service, we will explain what that means for your booking.

- Ask us to delete it. We will delete your information unless we must keep it by law (such as tax records) or under our contract with you.

To make a request, email info@singhsardarproductions.com with the subject line "Privacy request." We may ask you to confirm your identity first.

Our website is not intended for children, and we do not knowingly collect information online from anyone under 13. A parent or guardian books events involving children, and that person permits for any use of a child's image.

Our website links to YouTube, Instagram, Facebook, WhatsApp and listing sites such as GigSalad. Those services have their own privacy policies, and we are not responsible for how they handle your information.

Changes to this policy

If we change this policy, we will update the "Last updated" date above. If a change is significant, we will post a notice on our website. If we want to use your information for a new purpose, we will ask you first.
